Branches are subsidiary locations of a business that share the same financial data and accounts. A business can have multiple branches, each with its own unique identity. On Tyms, branches are created to facilitate the accurate distribution of financial data across multiple subsidiaries, ensuring that financial statements accurately reflect the performance of each branch and the overall business.

How to create branches on Tyms

Follow the steps below to create branches on Tyms:

1. Click on the settings icon at the top right hand corner of the screen.

2. Select “Branches” from the menu bar and click on the “New” button.

3. You MUST enter the following information to set up the branch:

a. Name of the branch.

b. Address of the branch.

c. State or region of the branch.

d. Country of the branch.

e. Check the box to show more branch customization options.

f. Click on the image icon to upload a logo for that particular branch.

g. Select the color for which that branch will have its invoices, receipts, and other documents in.

h. Enter the payment terms which should be displayed on the documents associated with that branch.

Click on the “Save” button at the top right corner of the screen and the branch will be available for selection across the various modules, and when adding a team member.

 

Managing branches on Tyms

Managing branches on Tyms includes various functions including:

1. Editing branches.

2. Assigning accounts and financial data to specific branches.

3. Assigning team members to a particular branch.

4. Detaching team members from branches/granting access to view all branches.

5. Switching between branches on Tyms.

 

Editing branches on Tyms

Editing allows users to update details of their branches on Tyms. 

Here are the steps involved in editing branches on Tyms:

 

1. Navigate to the branch you need to edit, click on the three-dotted line beside it, and select “Edit”.

2. Edit the details you need to, and click on the "Save” button at the top right corner.

 

Assigning team members to a particular branch

Assigning team members to a specific branch on Tyms has important implications for financial data access and recording. By assigning a user to a branch, they will only be able to view financial data related to that branch, and any transactions or records they create will be automatically attributed to that branch. This ensures that financial data remains organized and secure, and that users only have access to the information relevant to their specific responsibilities.

Here are the steps involved in assigning team members to a particular branch:

1. You MUST ensure that you’re currently viewing all branches by checking the branch selection at the top left corner of the screen.

2. Navigate to the “Users” menu on the settings page, and click on “New”.

3. Enter the details of the team member and select the branch you want to attach the member to by clicking the dropdown.

4. For an already existing team member, just locate the team member after step 1, click on “Edit”.

5. Click the branch dropdown, select a particular branch you want the team member to be assigned to, and save.

 

Detaching team members from branches

When a team member is assigned to a specific branch, their access and functionality may be restricted to that branch alone. To grant them access to all branches and enable navigation across the entire business, simply detach them from the current branch. This will restore their ability to perform tasks and view data across all branches, ensuring their workflow is no longer limited to a single branch.

To detach a team member from a particular branch, follow these steps:

1. Go to the Settings page and click on the “Users” menu.

2. Find the user you want to detach from a branch and click the “Edit” button next to their name.

3. Click the x mark on the branch dropdown to deselect the branch for that user, and proceed to save.

This will restore their ability to perform tasks and view data across all branches, ensuring their workflow is no longer limited to a single branch.

Generating reports by branches

Financial statements can also be reported by various branches on Tyms, giving an overview of all numbers represented by each of them.
Follow these steps to generate reports by branches:

1. Navigate to the TAccounting module.

2. After ensuring that you’re currently on “All branches”, click on any of the financial statements you want to view.

3. Click on the third dropdown to group reports, and select “Group by branches” as seen above.

4. Click the last dropdown which is by the right hand side of the screen, as seen above, and check the branches whose numbers you want to view on the financial statements. The branches whose boxes you check will be displayed and you can click on the Excel icon at the top right corner to export it in that display.

 

FAQs

1. Why is the branch field disabled when recording a transaction, even though I have access to all branches?

This occurs when you're currently logged into a specific branch. To resolve this, simply switch to the “All branches” view. This will unlock the branch field, allowing you to select any branch for transaction recording.

2. What roles can adjust team member branches?

Admin roles have the permission to adjust team member branches.

3. How can a team member be updated to have the ability to view all branches?

To grant a team member access to all branches, edit their profile and click the “X” icon next to the previously assigned branch. This will remove the branch restriction, allowing them to view and access all branches.
